Renting or buying sound equipment: which makes sense

Every company, school or community that runs events eventually asks the same question: buy our own speakers and microphones, or rent each time? There is no single right answer. It depends on how often the gear is used, who stores and looks after it, and whether the events are always the same. Below are the questions as we go through them with a customer.

How often the equipment is actually used

The first and most important question. Count how many times a year you really need the gear and multiply by the rental cost of one event. Compare that with the purchase price, and remember that owned equipment also needs cables, cases and stands.

Rule of thumb: if the gear spends more time in a cupboard than on a stage, renting is cheaper and simpler. If the same kit goes out every week, buying starts to pay off, but only if somebody also takes care of it.

Storage and transport

Two active speakers, a subwoofer, stands and a mixer case take up space. They need to be kept dry and warm, not in a damp cellar or a cold garage where condensation ruins the electronics. In an office that usually means a dedicated cupboard or storeroom.

Every event also means moving it. Is there a car it fits in, and a person who lifts and carries it? With rental you collect the kit from our Tallinn warehouse by arrangement or order delivery and setup, and after the event nobody has to haul the boxes back in the evening.

Maintenance, batteries and spares

Sound equipment is not a buy-and-forget purchase. Wireless microphones need batteries or charged packs, cables wear out and fail, the firmware in speakers and mixers gets updated, and after every event somebody has to check that everything came back and works.

A rental company does that as part of the job. You receive a kit that has been checked and comes with everything needed. If you own the gear, that becomes your person's task, and the missing cable usually shows up on the morning of the event.

Technology ages

Digital mixers, wireless systems and active speakers develop fast. A wireless system bought five years ago may use a frequency band that is no longer allowed today, and a small analogue mixer has no separate output for the live stream that every conference now expects.

Renting gives you what each event needs: a speech kit for a small meeting, a party kit with subwoofers for the summer day, four wireless microphones and a digital mixer for the conference. Buying means picking one size and living with it.

Try before you buy

If you do plan to buy, use rental as a trial. Take a Soundcraft Ui24R for a weekend and see whether mixing from a tablet suits your people or physical faders are more comfortable. Put a JBL PRX812 and an SRX812P side by side in your own hall and hear whether the difference is worth the purchase price to you.

That way you later buy what you actually need, not what the shop recommended.

Two examples

A company with four events a year: a spring meeting, a summer day, an autumn conference and a Christmas party. Each is different and needs a different kit. Buying would mean the gear fits one of them well and the others poorly. Here rental is the clear choice.

A venue with events every week: a café, a community hall or a school auditorium. Here it makes sense to buy a permanent base, speakers and a mixer that are mounted on the wall or ceiling and switched on the same way every time. Rent what varies: extra microphones for a bigger panel, drum microphones for a band night or in-ear monitors for a visiting artist.

You can always combine: your own equipment for the everyday and rental for the exceptions.
