Sound equipment rental cost: what goes into the total
There is rarely a single number that answers how much sound equipment rental costs. Every item on our site has a price per 24 hours, but what an event ends up costing depends on how long you need the gear, what has to go with it, and whether you collect it from the warehouse yourself or want us to deliver and set it up. This guide walks through everything that moves the total, so you can ask for an accurate quote and avoid ordering extras at the last minute.
The base: each item's price per 24 hours
In the catalogue, every speaker, mixer and microphone shows a price for one day of rental. For a one-day event the arithmetic is simple: add up everything you need and you have the rental fee. On a kit page that sum is already worked out for you.
Keep in mind that the price is per unit. Two active speakers are two lines, two stands are two more. The small lines look trivial on their own, but they are usually what decides whether the budget you drafted holds.
How long you need the equipment
The 24-hour price is the starting point. If your event runs over several days, or you want the gear the evening before and will return it two mornings later, we quote the longer period separately. For that we need the real dates, not just the date of the event.
Think about setup and teardown too. A conference starts at nine in the morning, but the sound has to be ready the previous evening because there is no time to test in the morning. That often adds a day that was not in the first budget.
Accessories that get left out of the budget
Most surprises come from small things missing from the first list. A speaker without a stand sits on the floor and sounds muddy, a laptop without a DI box hums, and a wireless microphone without spare batteries goes quiet at the worst moment.
Send us your list and we will check it and tell you what is missing. It is easier to add a stand to the quote than to hunt for one on the morning of the event.
- Speaker stands, or distance poles between a subwoofer and the top speaker
- A microphone stand for every wired microphone
- A DI box for the laptop (Radial USB-PRO), keyboard or bass (BSS AR-133)
- A mixer whenever more than one source feeds the speakers
- Cables, extension leads and power strips
- Spare batteries for wireless transmitters
Collecting it yourself, or delivery and setup
The simplest option is to collect the equipment from our Tallinn warehouse and bring it back afterwards. Then you pay the rental fee only. That works when the kit fits in your car and someone on site knows how to connect it.
Delivery, setup and a technician on site are separate services, priced according to the location, the access (stairs, a lift, how close a van can get), the time of day and how long the technician has to stay. We always quote these individually, because two identical kits can mean very different work in two different venues.
A technician is worth having when there is a band on stage, when there are more than three or four microphones, or when the sound also goes to a live stream. One speech microphone and two speakers you can usually handle yourself.
Weekends and summer
Equipment rental is seasonal. From Friday to Sunday and from May to September demand is higher, and the most popular items may already be booked. That does not change the price on the page, but it can change which kit is still available: if the speakers you wanted are gone, the alternative model may have a different price.
When you know the date, book early. Asking for a quote commits you to nothing, but it lets us reserve the equipment.
How to get an accurate quote fast
The more precise the request, the sooner you get a number that holds. Send us in one message:
You can send the request straight from the site by adding items to the cart, or call or email us. We answer on weekdays from 10:00 to 18:00.
- Date and times, including setup and teardown
- Venue and address, indoors or outdoors, floor and access
- Number of people and the size of the room
- The programme: speeches, band, DJ, presentation, live stream
- How many microphones and of which type (handheld, headset or lavalier)
- Whether sound also comes from a laptop or video
- Whether you collect the gear yourself or want delivery, setup and a technician
Why a kit is easier to plan than separate items
Kits are put together so that nothing is missing: the speech kit for up to 50 people has two JBL EON710 speakers, stands, a Soundcraft Notepad 12FX mixer and two wireless handheld microphones. The kit page shows the total immediately, and you can still change it, for instance by adding a third microphone.
When people plan item by item, what they forget most often is exactly the stands, the DI boxes and the mixer. A kit remembers them for you.
